Booking

How a stand is booked

Booking is reviewed before payment rather than after, which is slower by a day and avoids refunds and reallocations later.

  • Choose a stand

Pick a pavilion and a stand size from the floor plan. Availability updates live, so what you see is what is left.

  • Tell us who you are

Company details, what you will be showing, and which sector you are booking as. Pricing differs between public sector and private sector.

  • We review it

The organizers check sector claims and Startup Village eligibility before any payment is taken, so nobody pays for a stand they are not eligible for.

  • Confirm and pay

Once approved you receive an invoice and a payment link. Your stand is held for you while that is outstanding, then confirmed on payment.

Common questions

  • What does a stand include?

The shell scheme, power and basic furnishing are included, and the exact specification varies by stand size. The full inclusion list is published with the floor plan.

  • Why is there a review step before payment?

Two reasons. Public sector and private sector pay different rates, so a sector claim is checked rather than taken on trust. And the Startup Village is reserved for genuinely early-stage teams, which means eligibility is confirmed before money changes hands rather than refunded afterwards.

  • Can I choose which pavilion I am in?

Yes. You pick the pavilion when you book. If the one you want is full we will tell you what is nearby rather than moving you without asking.

  • Do exhibitor staff need tickets?

Exhibitor passes are issued with the stand and are separate from attendee tickets. Every stand also includes Expo tickets, listed against each one above, which are what get your team into the conference sessions rather than just onto the floor. If you need more than your allocation, email partners@techaiexpo.co.

  • Why do public and private sector pay different rates?

The organizers set a lower public sector rate so ministries, agencies and public universities can take a stand on a public budget. The difference is significant, up to a third off, which is why the sector you book under is checked rather than taken on trust. The Startup Exhibitor Pod is the exception, and not because it costs the same: it is open to private sector teams only, so it has no public sector rate at all.

  • How many days is the floor open?

Two. The exhibition floor and the Innovation Arena run on 24 and 25 September. The 26th is a day to see Zanzibar, followed by the Presidential Reception in the evening, and there is no exhibiting on that day.

  • Can a government body take a Startup Exhibitor Pod?

No. The pod is reserved for private sector startups. Ministries, agencies, public universities and government vendors are welcome on any of the other three stands, at the public sector rate, which is the cheaper rate on all of them.

  • When can we set up?

Setup day is 23 September, the day before the Expo opens. Exhibitors can also encode staff badges early on that day to avoid the morning queue.
